Offers and documents
Send the right document. Keep the next step visible.
Start with an approved offer or contract template, choose the signing route and cosigner order, then send a candidate-specific package through an encrypted, auditable document path.
Offer and contract templates
Control the template without copying it into every vacancy.
Create offer and contract templates for the whole company, a department, a team, or one vacancy. Recruiters start from the approved scope and prepare the candidate copy from there.
Candidate-specific documents
One candidate package. One secure route back.
Keep generated documents, uploaded files, secure delivery, and the latest supported state together on the candidate record. Sent and viewed stay visible. Signed and void appear when the selected signing route reports them.
Signing policy
Choose the signing route before the offer goes out.
Keep the file as a draft, use wet ink and upload, record an in-person signature, or choose digital signing with SES or AdES. Hire keeps the route, package, and reported evidence together. The configured signing service or offline process remains authoritative for legally relevant signature evidence.
Signing order
Candidate first or internal first. You decide.
Add internal cosigners and set the sequence while the document is still a draft. Route it through internal approval before the candidate, or collect the candidate signature before the internal cosigners complete it.

Document security
Documents are isolated from the rest of your product data.
Every template and upload passes through a separate malware-screening database before it can enter the main document flow. Files are encrypted in transit and at rest, then stored on separate document infrastructure with an additional encryption layer for uploads.
- Control 1Isolated intake
Templates and uploads first enter a separate screening database.
- Control 2Malware scan
The file is checked before it can be merged into the main document flow.
- Control 3Encrypted transfer
Approved files move through protected connections with TLS 1.2 or later.
- Control 4Separate storage
Documents stay encrypted with AES-256 on document infrastructure separated from other product data.
Audit evidence
See who touched the document, why, where, and when.
Follow each open, identity step, signature, and status change. The audit trail keeps the actor, purpose, location evidence, timestamp, document version, file hash, and method-specific signer evidence together.

Document requests
Ask once. Set the due date. Follow up from the same record.
Request candidate documents separately from the offer package, add a due date, and schedule reminders. Recruiters can see what is requested, due, received, or overdue without searching through email.
Offers and document questions
Signing routes, security, and audit evidence, answered.
Clear answers about SES, AdES, document isolation, cosigner order, requests, and reminders.
What is the difference between SES and AdES?
SES is the simpler electronic option. It records a person's action and intent to sign, such as typing a name or confirming acceptance, but strong identity verification depends on the checks used around it. AdES adds stronger requirements: the signature must be uniquely linked to the signer, identify them, remain under their control, and make later document changes detectable.
How are templates and candidate documents protected?
Templates and uploads first enter a separate malware-screening database. Clean files can then enter the main document flow. Transfers use TLS 1.2 or later, stored files and backups use AES-256 encryption, uploaded files receive an additional encryption layer, and document storage is separated from other product data.
Can we add cosigners and control their order?
Yes. Add internal cosigners and choose the sequence before sending. Internal signers can go first and pass the document to the candidate, or the candidate can sign first before it moves through internal signers.
What proves who opened and signed the document?
The audit trail records who acted, what they did, why access was needed, where the event came from, when it happened, and which document version was involved. It also keeps the file hash, event IDs, and identity evidence reported by the chosen signing method. AdES requires stronger signer identification and control than SES.
Can we request other candidate documents?
Yes. Create a separate document request, set its due date, and schedule reminders. The request stays distinct from the offer or contract signing state.
